Working in Outlook

After opening Outlook, a window will appear, offering several different toolbars and views. Each gives you control over various aspects of Outlook. The window below is similar to what you will see when you first open Outlook.

While most people only use Outlook as an E-Mail program and appointment book, Outlook offers several powerful features for organizing data and maintaining the file system. Outlook can be used to share data with other users, and to move and copy files like Windows Explorer.


Outlook Today

Outlook Today incorporates all aspects of Outlook into one easy to read screen. The number of new messages, a calendar of daily or weekly events, a task list, and more is displayed.

Outlook today is a new feature in Outlook 98, but an important one. With a single mouse click, you can view e-mail, your calendar, or search for a contact in detail. In order to take advantage of Outlook Today to its fullest, it should be set as the default view. In order to do this,

  1. Click on on the upper section of Outlook Today.
  2. You will now see the Outlook Today Options.

  3. Under the section, make sure that the checkbox is checked.


Outlook Shortcuts

Sweet Toolbar Goodness! The Outlook Shortcut Bar allows navigation through all the various features of Outlook. Icons for E-Mail, the Calendar, Task Lists, Notes, the Journal, Contacts, and Deleted Items can be found here. Along with the Outlook Shortcuts, there is also a list of "My Shortcuts" which offers more outlook folders. The Outlook Bar is fully customizable.

In order to create shortcuts to other folders,

  1. Click in the Other Shortcuts Bar.
  2. Right Click and choose .

    .

  3. Give the New Shortcut a name like "My Network Space".
  4. Click OK.
  5. A Shortcut should now be found in the Other Shortcuts Bar called "My Network Space".


Folder List

Using the Folder List is similar to using Windows Explorer. The left pane offers the listing of folders, and the right pane displays files, e-mail, calendar appointments, or tasks. Each can be clicked and dragged to other folders, sent as e-mail attachments, or deleted.

Folders can be added to any item in the folder list. In order to create a New Folder,

  1. Click on the item where you want the new folder, such as the Inbox.
  2. Right click on Inbox and select

    Create New Folder

  3. Give the Folder a name, like "Storage".
  4. Click OK.
  5. A New folder called "Storage" should be found in the Folder List under Inbox.


Toolbars and Menus

Toolbar

The Outlooks toolbar and menus offer access to all the command in Outlook. The Toolbars change depending on what particular area of Outlook you are in (e.g. Inbox, Calendar, etc.), but the menus have all the commands found on the various toolbars.
